Quick Start: Your First Login
Audience: every Cloud Anesthesia user. Time: ~5 minutes.
Your practice's administrator has provisioned a Cloud Anesthesia account for you. This guide walks through what to expect the first time you sign in.
1. Find your sign-in URL
Your group has a dedicated subdomain. It looks like:
https://<your-practice>.app.cloud-anesthesia.com/
Your welcome email contains the right URL for your practice.
2. Sign in with your temporary credentials
Your welcome email contains:
- The email address your account was created with
- A temporary password (12 characters, mixed case + digits + a symbol)
Enter both. If you have trouble, double-check that you're using the exact email address from the welcome email — Cloud Anesthesia is case-insensitive on email but otherwise strict about matches.
3. Change your password
Cloud Anesthesia requires you to set your own password on first sign-in. The temporary password is invalidated the moment you set a new one.
A few guidelines:
- Minimum: 12 characters (longer is better)
- Don't reuse a password from another account
- A passphrase like
purple-orca-sunday-coffeeis stronger thanP@ssw0rd!
4. Review and accept the Terms of Service and Privacy Policy
You'll see a one-time review screen with:
- A short summary of how Cloud Anesthesia handles your data
- Links to the full Terms of Service and Privacy Policy
- A checkbox: "I have read and agree to the Terms of Service and Privacy Policy"
- A Continue button
Once you accept, the screen goes away and you'll be taken into the app. You won't see this again unless we materially update our terms — in which case we'll let you know first.
5. (Strongly recommended) Turn on MFA
Cloud Anesthesia supports time-based one-time-password (TOTP) multi-factor authentication. With MFA on, signing in requires both your password AND a 6-digit code from an authenticator app on your phone.
To enable it, go to Account → MFA in the app (or visit /account/mfa directly). The setup wizard walks you through:
- Adding the account to an authenticator app (Google Authenticator, Authy, 1Password, etc.)
- Verifying with a 6-digit code
- Saving your one-time recovery codes (in case you lose your phone)

6. You're in
The home page is your group's current schedule. What you can do depends on your role:
- Staff: view your assignments, see published schedules
- Boardrunner: build, save, and publish schedules; make day-of adjustments
- Admin: everything boardrunners can do, plus manage users, group aliases, and unit overrides
- Superadmin: cross-group administration (reserved for Cloud Anesthesia staff)

Common first-login issues

"Invalid email or password" but I'm sure I typed it right. Your account is scoped to your group's subdomain. Make sure you're at the URL in your welcome email (your practice's specific subdomain), not the generic
app.cloud-anesthesia.com. If you signed in at the wrong subdomain, you'll get the generic invalid-credentials error. -
The page is blank after sign-in. Try a hard refresh (Cmd-Shift-R on macOS, Ctrl-F5 on Windows). If that doesn't help, email support@cloud-anesthesia.com with the browser and approximate time.

I never got a welcome email. Check your spam folder for an email from
noreply@cloud-anesthesia.com. If still missing, ask your practice administrator to resend. -
I forgot the temporary password and lost the email. Use the "Forgot password?" link on the sign-in page. You'll get a reset link by email.
